Hireage Terms & Conditions

Bookings

● Aotearoa Marae is a pro-vaccination Marae. Hirers must observe the Marae Health and Safety including COVID-19

Policy which specifies the Marae being open only to people who have been double vaccinated. The hirer must take

responsibility for ensuring this policy is adhered to. Responsibilities of the hire and the Pa trustees are detailed in

the Policy.

● Bookings are secured on payment of a $200 deposit. In the event of a dispute over hireage the hirer that has paid

the deposit first into the Marae bank account, shall be the confirmed hirer.

● The Aotearoa Marae Trustees may cancel and/or change a booking to make way for tangihanga which take priority at

all times. A representative of the Marae will contact the hirer as soon as possible should a tangihanga necessitate

cancellation of a booking.

● Other than in the event of tangihanga, the full deposit is refundable if the booking is cancelled more than 14 days

from the hire start date. If cancelled within 14 days of the hire start date the full deposit will be retained by the

Marae to offset costs and ‘lost opportunity’ for alternative hires.

● The hire is from the dates requested on the booking form. Access to the Marae begins and ends on those dates.

Costs

● All costs are GST inclusive.

● The hireage charges include use of the Wharekai (kitchen and dining) and Wharenui (meeting house) and includes

gas, power, utensils, appliances, mattresses, cleaning liquids, toilet hand-soap, hand towels and toilet paper.

● Additional charges are payable should the hirer want the Marae to arrange rubbish removal. The additional charge

is the actual cost of removal, as shown in the table above.

● Should the hirer want to use Marae linen (sheets and pillow cases) and/or table cloths the cost of cleaning the linen

is an additional charge to the hirer as shown in the table above. The charge rate is the actual cost of laundering.

● In the event of a tangihanga necessitating cancellation of a hire, a full refund of the deposit and any additional

amounts will be made.

● A Bond is established for large catering items from the Pā. The Pā can provide an inventory list of these items

including the bond cost associated with these items.

General Conditions

● Hirers are responsible for providing their own food and cooking their own meals.

● The Marae may be able to arrange caterers to prepare meals for the hirer. If this is needed the full cost is payable in

advance by the hirer.

● Hirers need to bring their own containers to take food off the premises. Hirers must not under any circumstances

remove equipment, dishes, pots, crockery, etc of any description off the premises, even with the best intentions of

returning them!

● The hirer is expected to leave the Marae clean and tidy with all rubbish removed or placed in the rubbish bins if the

hirer is paying for removal of rubbish by the pa.

● The Hirer is responsible for any loss or damages caused during the hire period, to buildings, facilities or equipment.

The hirer agrees to meet this cost fully which will be the actual cost of replacement and/or repair.

● The Aotearoa Pa trustees will not be held responsible for any damages or loss of equipment and/or to marquees

brought onto the marae by the hirer.

● The Aotearoa Pa grounds and peripheral road frontages must be kept clean and tidy at all times.

● All equipment including tables, chairs, pots, pans, crockery, dishes, utensils, tools, linen, mattresses and pillows must

be accounted for before departing on the last day.

● Aotearoa Pa is AUAHI KORE. Smoking is not permitted anywhere in Marae buildings or on the grounds, this includes

vaping. Those wishing to smoke and/or vape are required to leave the Marae premises.

● Alcohol is permitted in the dining / kitchen area only (not outside), is not to be sold on the premises and must be

consumed responsibly. All empty bottles, cans and cartons/crates must be removed from the premises prior to

departure. This is not the responsibility of the Marae.

● Illegal drugs are not allowed on the premises under any circumstances.

● Gambling for legal tender / money is not allowed on the premises.

● Some functions may be eligible to uplift ‘pataka’ i.e. fish and/or other kaimoana allocated to Okahu-Inuawai Hapu.

The person responsible for the hire is responsible for ensuring these terms and conditions are met, this includes

managing the presence of smoking, alcohol, drugs and/or gambling.

A Health and Safety Liaison is responsible for matters relating to the COVID-19 protection framework and compliance of

the Aotearoa Marae Health and Safety Policy (attached to this booking).

Should illegal activity on the Marae grounds become known to Marae Trustees the Police will be notified without

hesitation.
